Setup

Configuration Flags

Enable CFGEnableVesselVetting and CFGEnableVettingWorkflow.

Module Rights

Select Module Rights for administrators and users:

  • Chartering > Actions > Vessel Vetting provides access to the Vessel Vetting form (described in this article)

  • Chartering > Setup > Vessel Vetting Setup provides access to the Vetting Setup form

  • Data Center > Other > Vetting Incident Types provides access to the Vetting Incident Types form

  • Data Center > Actions > Edit Vessel Vetting enables you to edit the Vessel Vetting tab

Vetting Incident Types

In the Data Center, define Incident Types that can be selected on the Vessel Vetting tab.

Workflow

Follow these steps:

  1. Complete the Vetting Setup form for all parties that require vessel vetting.

  2. On the Voyage Fixture, the Vetting/Approvals field displays the vetting status of the Fixture with the vessel. To open the Vessel Vetting form, click the status link.

    The Fixture Performing Vessel is set as the first tab. Each vessel tab includes a line for each of the entities for which the vessel needs to be vetted:

    • Each Company specified on the Vessel Vetting Setup form, with rows highlighted in yellow

    • Each Port/Function, Cargo combination

    • Additional entries, with rows highlighted in green

  3. Do any of the following:

    • To add another vessel, click the + tab.

    • To add a line, either click the next empty line or right-click a line and then click Insert.

    • Select either the Approved or the Rejected check box. Your user name appears in the Recorded By field, and the GMT time of the approval appears in the Recorded On field. You can enter free-text Comments in each row.

    • To edit Vetting Remarks, click the Remarks tab. To access Vetting Remarks from the Voyage Fixture, click Remarks and then click Vetting Remarks.

The Validation symbol on this form indicates the status of the Voyage Fixture; to see outstanding issues, click it. The symbol on the Voyage Fixture includes its vetting status.

  • The vetting status is Pending until all entities for the performing vessel are selected as Approved, and then it turns to Completed.

  • A Voyage Fixture cannot be scheduled until the vetting status is Completed.

  • For a voyage, a vetting status of Pending causes a validation error.

Effects of Later Voyage Fixture or Voyage Edits

If changes are made to the Voyage Fixture or voyage after this form is saved:

  • Changes in Cargoes are updated on this form.

  • For ports removed after the voyage is scheduled, the vetting history is preserved.

  • For ports removed from the Voyage Fixture itinerary before the voyage is scheduled, only those with the Approved or Rejected check box selected on this form are retained.

Enable Vessel Vetting
CFGEnableVesselVetting

Enables vessel vetting. The value in the Vetting field is the Vetting status of the Fixture with this vessel: Pending or Completed. To open the Vessel Vetting form, click the Vetting field label.

With this flag enabled:

  • The Voyage Fixture is created when an Estimate is fixed.

  • On the Voyage Fixture form, the Performing Vessel field label changes to Vessel.

When this flag is enabled, the new Vetting tab will be displayed on the Vessel form, which includes the Evaluations, Incident History, and PO Inspection grids for tracking vetting information.
