Intro

Some charterers have signed up to report to the Sea Cargo Charter on their share of emissions generated for voyages they charter. This workflow enables carriers operators to send the bunker consumption information relevant to the charterer’s portion of any voyage, including relevant CO2 factors, enabling emissions output calculations. Charterers can then use various options to report on that data.

Data Submission & Receipt Workflow

The phases of the workflow are as follows.

1️⃣ The charterer generates and shares the IMOS X Emissions form with the carrier.

...

...

2️⃣ The carrier submits the data to the charterer.

Once the voyage is complete, the carrier should follow the steps outlined in this article to submit the data to the charterer.

3️⃣ The charterer receives, modifies, and approves the data in the inbox.

The charterer will receive the emissions message in the IMOS X inbox, review it, make any necessary changes, and approve the data to be recorded in IMOS (if applicable) and IMOS X voyages for downstream reporting.

Step 1 - Create and share the form

The charterer should complete the following steps.

  1. Log in to IMOS X, and select Compose once the Inbox loads.

    image-20240503-183409.pngImage Removed
  2. Using the new message, set up the form to allow the carrier to send it to you. In the To field, select your own company. In the Type field, select SCC Voyage Emissions.

  3. At the lower left of the form, select Copy Form Link to copy the link to this form.

  4. Include this link as part of Voyage Instructions or any other routine communication about this cargo movement.

    1. Here are some instructions you can optionally include with the link:

      • Click this link to log in to Veson IMOS X and fill out a voyage-level SCC Emissions form. Here, you can import an itinerary based on AIS data, which should include the ballast leg of the voyage. Then, enter bunker consumption information, review CO2 factors, and send the form.

    2. If your company is using Veslink Voyage Instructions, this link can be added to that template, as it will never change. That means, in the future, you can skip steps 1-3 since the link will already be part of the instructions. The same link can be used for any carrier.

  5. Close the browser tab that contains the setup form now. The first phase of the workflow is complete.

Step 2 - Enter and submit the carrier data

Data Submission Workflow

Once the voyage is complete, you should follow the steps to submit the data to the charterer.

Step 1 - Enter your voyage info

  1. Do one of the following:

    • Select the data submission link provided by the charterer and log in to IMOS X. The SCC Voyage Emissions form opens and

    will show
    • shows your charterer as the recipient. (Optional)

    • If

    no form opens
    • you didn’t receive an email or the form doesn't open when you click the link, select Compose, enter your charterer in the To field, and select SCC Voyage Emissions as the form type.

  2. At the top of the form, provide the following information:

    1. Enter any SCC Counterparty Reference that your charterer may be expecting.

    2. Select a vessel.

    3. Select an SCC voyage type.

  3. To enter your itinerary, do one of the following:

    1. Enter the itinerary manually.

    2. Select Import Itinerary to import your vessel’s itinerary over a period of time based on AIS data. Adjust the dates and re-import the itinerary if needed. The SCC expects the ballast leg prior to load to be included in this itinerary, so be sure to go far enough back in the date selection to get include that included.

  4. Once you enter the itinerary data, expand each leg and do the following:

    1. Check all the itinerary information for accuracy.

    2. Enter the distance between the ports.

...

  1. Select the Map tab to review the route. Review the map and validate that you’ve got pulled in the right itinerary pulled in.

Step 2 - Enter fuel consumption info

  1. Select the Consumption tab to enter the bunker consumption information, which will drive the emissions calculations on the Emissions tab.

  2. Select the fuel types used on this voyage. These may not match the fuels as recorded in your shipping system of record, as they are the SCC standard fuel types. A column is added for each fuel type you pick. In those columns, enter in-port consumption on the lines with the port names and sea consumption on the lines labeled At Sea between the ports.

The consumption data you enter is validated against estimated consumption from VesselsValue for the Leg Start Date through the Leg End Date. The validation is meant to assist you with correct data entry, but if you don’t agree with what is shown, you can choose to submit the form anyway.

Fuel consumption data is only validated at sea. In-port consumption has no validation currently.

  1. Review the CO2 factors, which default to the SCC standard for each fuel type, and edit if needed. Net Emissions calculations are also displayed for review.

Step 3 - Review and resolve any errors

  1. An error icon on the corresponding tab indicates any errors in the data entry. Select the tab to address the errors, as shown in the following image.

Step 4 - Submit the data

  1. When you’re happy with the data entered, select Send in the lower-right corner of the form. If you’ve chosen to bypass data validation, you will be warned about that. You can choose to review the data again or go ahead and submit the data it as-is.

  2. The form is sent to your charterer’s inbox for approval and further processing.

Step 3 - Receive and approve the form

When entering distance and consumption information, these will be validated against AIS records and estimated consumption based on Vessels Value, respectively, for the Leg Start Date through the Leg End Date. The validation is meant to assist in getting the correct data entered, and if you don’t agree with what is shown, you can approve the form anyway.

  1. When you’re happy with the data entered, select Approve.

The inbox is filtered to Pending messages by default. Upon approving this one, it will disappear, and you will be prompted to select another message to work on. To review this one further, switch the inbox Status filter to Approved, and you should find it at the top of the list.

  1. Data from the approved form can be viewed in the IMOS Voyage Manager under the Sustainability panel. Click the “…” menu in the top right and select Emission Data.

Tips & Tricks

1

CFGUseVoyageEmissionsFuelTypes should be set to Y in most cases. When setting this flag to N, upon approving an SCC form, the system will try to check that the fuel types used on the SCC form match those on the voyage the form is trying to update. This is unlikely to succeed, as various fuel type names are often used. Setting this to Y allows the form to update the voyage regardless of whether the fuel types match.

Remember that you can always ignore the fuel consumption and distance validation. We hope that it

will help get

helps you enter the data

correctly, but it

will never

does not prevent you from submitting

or approving

a form.

The form’s title is editable, but the system

does not save the change.

4

If you include a comment longer than a few words in the form before using the Copy Form Link functionality, it likely will not be able to be included in the form link. A message will inform you, and you can copy/paste that comment into whatever communication you’re using to send the form link.

5
3

Standard SCC fuel types and CO2 factors are used. CO2 factors can be edited.

6
4

Some standard SCC fuel types are not yet available for use in this form but will be in the future: VLSFOHighVisc, VLSFOLowVisc, Methanol, Ethanol, and Ammonia.

7

Once an emissions message is approved, it will immediately disappear from the current inbox view as the inbox is filtered by status. Approving the form moves it from status Pending to Approved. If you need to find that form again, switch the inbox status filter to Approved.

8
5

There are some errors you can ignore and some you cannot. It’s tough to tell the difference until you click Send

(carrier) or Approve (charterer)

. Validation of values within ranges can be ignored, but required fields cannot be ignored.

9

When approving an emissions message, any data previously shown in Voyage Manager > Sustainability > Emissions Data will be wiped out and replaced with this new data.

10
6

Remember that in-port fuel consumption does not currently have any validation against the values entered; only at-sea consumption is checked.
